“Disgusting, disgraceful!” The crowd was visibly furious as everything crumbled into a nightmare of disarray and disillusionment. The inadequate and poor planning of the organizers destroyed what could have been a signature volleyball tournament of our club.

I was in the junior management position of the club back then alongside a couple of colleagues, as all of us took notes of what to do (and what to avoid) to plan and organize a successful volleyball tournament.

Fast forward to now, we recently organized a volleyball tournament that was completely opposite of what the previous management of our club did.

As a result of our unparalleled planning, we won the best volleyball management award, coupled with other distinctions that we wear with pride.

Here are the lessons and the nitty-gritty of how to plan and organize a successful volleyball tournament that makes your event highly successful.

Setting the Foundation: Kicking off the Legacy

I remember poring over dates, avoiding holidays, and considering the unpredictable weather.

Obviously, the tournament was an indoor event, but we just tried to have it on nice sunny days so that the teams and the crowd would not face any difficulty reaching the venue.

And how can I forget to mention the process of selecting the venue?

We tried to get an indoor facility with multiple courts available to proceed with the fixtures fast. We ended up selecting a venue with 6 courts at the same place where multiple matches were going on at any given time.

It will also help you in dictating the length of the volleyball tournament.

That is why I always recommend selecting a venue that has a reasonable number of courts so that you can set up the pace of your tournament. But that is only recommended if you have enough resources (volleyballs, scorers, umpires) available. If you are short of resources, always try to start small and organize in a minimum number of courts to avoid messing things up.

Establishing the Purpose of the Tournament

If I could name the most important step in the planning of a volleyball tournament, it would definitely be establishing the purpose of the tournament.

This is due to the fact that changing the purpose will change the whole planning process of your tournament.

Here is the thing!

The purpose of your volleyball tournament is the cornerstone upon which all other planning aspects rest.

I have seen tournaments that are specifically conducted for fundraising, the ones that aim to foster community spirit, and also for competitive play.

Understanding and defining this purpose is crucial as it shapes the nature of the tournament, its audience, and its overall atmosphere.

Always note that!

Charity events focus on maximizing fundraising. In this case, activities like auctions, raffles, or donation drives are usually integrated. Their tone is often more inclusive and community-oriented, appealing to a broad range of participants and spectators.

But competitive tournaments shift focus to attracting skilled teams, ensuring high-level play, and possibly scouting talent. The rules are more stringent in this case, and the structure involves more complex bracket systems. Such tournaments also attract sponsors interested in associating with sports excellence and competitiveness.

In the case of recreational tournaments, the focus is completely different. These events prioritize enjoyment and participation over competition. It’s an opportunity to engage local communities, schools, or corporate teams, fostering teamwork and camaraderie. The atmosphere is relaxed, and rules are often adapted to ensure all skill levels can participate and enjoy.

While this is generally a cool idea, sticking to professional rules is more financially rewarding for organizers as more serious teams come into action, and it also attracts the audience more.

This process is crucial for ensuring a fair, competitive, and enjoyable tournament for all participants. Below is a detailed approach of how to have maximum number of teams on board with you.

This is the stage where most non-serious tournament organizers lose it all.

They fail to register enough, or low-quality teams eventually tarnish the whole reputation of the tournament.

Back in my college days in 2011, we used to set up manual desks outside the gym as few people among us had any idea of how to market the tournament on the Internet. But that has turned completely now, as online registration has taken us to places and helped us register 64 teams within 3 days at one of our recent events.

Here is the crux of the registration approach you need to follow:

Implement a user-friendly online platform for team registrations. Some important features to include are:

Put the deadline a couple of days before you actually want to close the registration, as most teams wait till the end to register them. If you put the registration day easrlier, teams will try to register soon, giving you an edge to plan the tournament in an even better fashion.

Your best bid to get the maximum number of teams on board is to announce incentives for early registrations, including early bird discounts, standard rates, and late registration fees.

Announcing early bird rates has been beneficial for us quite a time in securing a large number of teams on board right after the start of the registration.

Collect essential team information, including team name, contact details, player rosters, and skill levels.

Handling Special Requests of Teams

Never forget to have a proper channel for handling special requests or queries, such as accommodation needs for out-of-town teams.

Having such incentives on the registration portal allows far-away teams to take part in your tournament.

Most of the tournament organizers put special focus on this step, and for all the right reasons.

As the organizer of numerous successful volleyball tournaments, I have come to realize that the magic lies in the details of logistics and operations.

(But these are all the shenanigans to be followed if you have enough money). Otherwise, a volleyball tournament can be arranged without them.

From sparkling clean restrooms to well-equipped changing rooms, you can add as much sugar to the events as you can afford to do.

At times, we even had free wifi zones in the court. All of this was done to attract the audience and make good money out of them.

Now is the time to select a team that will unfold the magic on the big day. Yes, it is the time to choose the most important officials for the event.

From tech-savvy scorekeepers to eagle-eyed referees, try to fill every role with individuals who are not just skilled but passionate about volleyball.

And before the tournament starts, give them a briefing on how the tournament will unfold so that none of them gets carried away with the big tournament.

For scoring purposes, use custom apps that allow real-time updates and seamless communication among the team.

One thing I have learned over the years is that no one appreciates the beauty behind closed doors.

Until and unless you are promoting your volleyball tournament to the maximum potential, there is a massive possibility that no one will be bothered about it.

And they have all the reasons for this ignorance.

After all, there are tournaments being organized in each and every club, so why will anyone be bothered about your event?

But you can go against all the odds by promoting your event in the following way:

  • Social Media Campaigns: Utilize Facebook, Instagram, and Twitter for engaging content like event countdowns, player spotlights, and behind-the-scenes looks.
  • Local Community Outreach: Form partnerships with local schools, clubs, and businesses. Use flyers and posters in community centers and businesses.
  • Email Marketing: Send regular newsletters to past and potential participants.
  • Press and Media Engagement: Issue press releases to local sports blogs and newspapers. Invite local TV and radio stations for coverage.
  • Digital Tools: Use an event website or landing page for information and registration. Do not forget to employ targeted online advertising like Google AdWords.

One thing that has helped us in making our tournaments go viral is putting special emphasis on health and safety protocols.

The health and safety of participants, staff, and spectators are important in any volleyball tournament.

This you can do by:

First Aid and Medical Support

  • Spot-on Meal Plan: Advice participating teams to follow rigourous meal plans like 7-day meal plan for volleyball players. While it is not necessary, following it will make the tournament-ready.
  • On-Site Medical Team: Have a qualified medical team present on the scene if you have the resources to do so. This team will include paramedics and first aid responders. If you are not arranging it yourself, tell it to your participants explicitly so that teams can arrange their physiotherapists themselves.
  • First Aid Stations: Set up multiple first aid stations around the venue, clearly marked and easily accessible.
  • Emergency Medical Equipment: Equip each station with essential medical supplies, including defibrillators, bandages, and emergency medications, just in case. Try to get this thing from sponsors like a local hospital or a medical facility.

Then, have a detailed Emergency Action Plan (EAP) for various scenarios, such as injuries, severe weather, or other emergencies.

Not to mention that you also need to mark and communicate evacuation routes and emergency exits to all attendees.

Also,

Provide ample water stations to prevent dehydration to participants as well as to the audience, especially in outdoor tournaments.

Not to mention that some tournaments also arrange food tables for players, but that is only recommended if it does not disturb your finances.

Here is a detailed approach that has helped us to organize volleyball tournaments successfully, and we will do the same for you.

Even when you know that you have done everything right and up to the mark, there must be a venue walkthrough to know that nothing is messed up.

For this:

  • Conduct an early morning walkthrough of the entire venue to see if everything is set up as planned.
  • Check the condition and placement of nets, poles, volleyballs, and other equipment.
  • Verify that the seating arrangements for spectators are in place and meet safety standards.
  • Hold a brief meeting with all staff and volunteers to review their roles and responsibilities.
